Description:

Reporting into the CEO, the Head of Membership is an essential role responsible for FinTech Wales’s strategy driving the growth of new members and how we get them, the process to convert and win them over, along with how to deliver value and keep them as members.

Responsibilities

Strategic (25 % of the time):

  • Analyse – ensure we know our members! Develop regular analysis, feedback and surveys to understand what our members need, what they think about the ecosystem and FTW.
  • Lead the membership strategy – develop a comprehensive membership strategy in order to get, convert and keep members.
  • Measure – develop a strategic reporting framework that allows us to benchmark the impact we have on our members and the value we deliver.

Get (25 % of the time):

  • Synergies – working with other members of the team, specifically marketing and commercial teams ensure we leverage all opportunities and initiatives to win new members and sponsors.
  • Campaigns – develop specific campaigns to get new members.
  • Prospects – work on a process and pipeline to identify new members and sponsors.

Convert (25 % of the time):

  • Win – new members by working closely with the CEO to develop a process which enables FTW to efficiently win new members and sponsors.
  • Legal – manage and develop a process to ensure all members and sponsors are supported with relevant legal and commercial documents.
  • Reporting – report back to the team, board, panel and members on new wins. Work closely with the marketing team to ensure these new wins are promoted.
  • Onboarding – develop an appropriate process to ensure we onboard new members and sponsors in the best way possible.

Keep (25 % of the time):

  • Retain – ensure we retain members/sponsors by delivering them value.
  • Identify – develop a process to identify members/sponsors who are unhappy with their membership, or there are opportunities to improve.
  • Improve – members experience both positive and negative.
  • Report – back to the team and board around retention and membership/sponsorship success and challenges.
  • Promote – working with the marketing teams, promote the success members experience with FTW.

FinTech Wales – Head of Operations

Description:

Reporting into the CEO, the Head of Operations oversees the daily operations of

FinTech Wales (FTW) to ensure that the business is well-coordinated, productive,

compliant and meets its obligations from a reporting and fiduciary perspective.

Responsibilities

Operations Framework (10 % of the time):

  • Collaborate – with the CEO, other members of the team, board and external suppliers to develop an operational work that enables FTW to function to the best of its ability.
  • Iterate – Importantly, revisit this framework on a regular basis to ensure it’s fit for purpose and evolves as the business grows and changes.
  • Calendar – develop an easy to understand calendar around all operational requirements, deadlines and events.

Financial (50 % of the time):

  • Lead – the financial management of all FTW financial matters from annual/qr reporting, filing/submission of key documentation (e.g. annual return, companies house filing statement etc…), to monthly revenue numbers and P&L updating.
  • Manage – internal and external resources (e.g. book-keeper) to help achieve

key financial responsibilities.

  • Report – in appropriate manner and time on all financial related activities.
  • Update – all documentation in the appropriate and timely manner.
  • Manage – Resource, both internal and external to deliver and meet all financial requirements. (e.g. Accountants, Pension providers etc…)

People (25 % of the time):

  • Support – the CEO in managing employees from an operations perspective, e.g. payroll, contracts, pension etc…
  • Own – being the point of contact for FTW employees for all operational matters e.g. payroll changes, pension etc…

Legal (10 % of the time):

  • Own – the filing and management of all legal documents related to the operational running of FTW.
  • Report – in appropriate manner and time on all legal related activities.
  • Update – all documentation in the appropriate and timely manner.
  • Manage – Resource, both internal and external to deliver and meet all financial requirements.

Key Measures (what success looks like)

  • Hit personal objectives -around managing key Financial, People and Legal targets.
  • Lack of errors – minimise the number of errors or issues from an Operations perspective.
  • Efficiencies – make improvements to the way FTW works and operates.

Description:

Reporting into the CEO, the Head of Marketing is responsible for raising the

profile of FTW it’s members and the ecosystem. Delivering a comprehensive

marketing strategy encompassing all of FTW activities across Members, Skills,

Foundry, Promotion and more. A specific focus is also helping win and retain

members along with leading on Events and the promotion of key activities.

Responsibilities

Strategic (25 % of the time):

  • Analyse – develop annual analysis of the ecosystem to drive insight and the formation of strategic initiatives
  • Lead the marketing strategy – develop a comprehensive marketing strategy in order to promote, elevate and enhance all key areas FTW.
  • Comprehensive – develop a comprehensive promotional plan and activities to support Skills, Ecosystem, Funding and Promotion core FTW strategies.
  • Measure – develop a strategic reporting framework that allows us to benchmark the impact of marketing and promotional activity within the principality and beyond.

Promotion (50 % of the time):

  • Brand – the FTW brand, website and social media assets to ensure regularupdating and communication of key messages.
  • PR & Coms – ensure FTW maximises all opportunities and mitigates risksfrom a PR and Communications perspective.
  • Campaigns – develop several key campaigns to help promote key FTW initiatives
  • Events – take responsibility for all events promotion and management (both direct and indirectly when supporting other team members).
  • Calendar – develop an easy to understand marketing and events calendar around all promotional activity

Manage (25 % of the time):

  • Budgets – ensure all marketing activities, campaigns and management of agencies fall within agreed budgets.
  • Marketing team – lead, develop and support the marketing team
  • FTW team – ensure the wider team are supported and have input into marketing activities where relevant.
  • External – resource including agencies to deliver on all relevant marketing activities.

For the COO, manage the efficient administration of Ship Shape’s small Cardiff-based business. You are required to do all the groundwork that is presently done by the COO to administer the business, with a strong sense of organisation, an eye for detail, and a love of seeing a job done to completeness.

Ship Shape has good relationships with its accountants, book-keepers, Company Secretariat advisors, lawyers, HR advisors. You are not expected to be a single-point expert at any of these things. You are however expected to engage with those experts directly.

What you’ll be doing:

Management Meetings:

  • Own and manage collation of dashboards (Mgmt overview, Product, Sales & Marketing, etc)​
  • Monitor actions arising from weekly Mgmt meetings
  • Documentation and Information Control
  • Own the company’s internal Document Structure and taxonomy​
  • Police what is filed in which drive, when, and why

Finance:

  • Monitor the General Ledger
  • Prepare inputs to finance tasks e.g. annual R&D tax claim, government grant claims
  • Prepare expenses for the book-keeper
  • Monitor and manage HMRC reporting and other needs

Sales:

  • Review contracts and escalate issues that you see, and suggest improvements
  • Manage billing, on a monthly and annual basis​

Suppliers:

  • Manage on-boarding e.g. contract review inc. payment terms​

Company Secretariat:

  • Ensure all Minutes, Actions are taken in accordance with the guidance from our CoSec advisors​
  • Manage investor and option-holder documentation
  • Manage Option valuation process​
  • Monitor and manage Companies House filing and other needs

HR:

  • Instructing payroll provider
  • Maintain Policies and Procedures

Risk Management​:

  • Tracking and managing closure of risk events within Savings.
  • Develop knowledge of the UK Savings market to share insight with the wider business and deputise for the Savings Product Manager in key meetings.
  • Assist the business in responding to regulatory changes that impact or include Hodge’s savings products.
  • Maintain an up-to-date knowledge of divisional compliance requirements in order to identify and minimise regulatory risk (i.e. Financial Services Authority Regulation, Consumer Credit Act, Money Laundering, Data Protection).
